When should a small business build a custom internal tool or client portal instead of buying another subscription?

Off-the-shelf software is the right answer most of the time. But sometimes it forces your business into awkward workarounds.

Buy when

  • The process is common (accounting, email, scheduling).
  • A well-known tool already does it well.
  • You can adapt your process slightly without losing anything important.

Build when

  • Your process is what makes you different.
  • Your team juggles several tools and spreadsheets to do one job.
  • Clients need a simple portal to see status, upload files or approve work.
  • Subscriptions for many seats cost more than a focused tool would.

Start small

A custom tool doesn't need to be a big project. A focused internal dashboard or simple client portal can be built in stages, connected to the tools you already use.

Ownership matters

Make sure you own the accounts, code and data, and that the system is documented so another developer could maintain it.

A good test

If you can describe the tool in one sentence and name who uses it every day, it is probably worth exploring.
